Glass Bee Studio is run by Claire Caddick, based in Seaford, East Sussex. I am responsible for how your personal information is collected and used through this website.

Information I collect

Depending on how you use the website, I may collect:

  • Your name, email address and any other contact details you provide.

  • Billing and delivery addresses, order details and payment confirmation.

  • Messages, commission requests and photographs you submit.

  • Your newsletter preferences.

  • Technical information about your visit, such as your IP address, browser, device and pages viewed.

You provide information when you place an order, complete a form, upload photographs or subscribe to the newsletter. Some technical information is collected automatically through Squarespace and cookies.

How I use your information

I use your information to:

  • Complete your order: process purchases, deliver digital patterns, arrange postage and create custom commissions. This is necessary to fulfil our contract or take steps you request before ordering.

  • Answer enquiries and provide support: this supports my legitimate interests in helping customers and running the business.

  • Keep required business records: this helps me meet legal obligations, including tax and accounting requirements.

  • Send newsletters: only where you have agreed to receive them.

  • Understand website use through optional analytics cookies: where you have given your consent.

If you don’t provide the details needed for an order, I may be unable to fulfil it.

Pet photographs and commissions

I use the photographs and details you send to design and make your pet portrait and discuss the design with you.

I will ask separately before sharing your original reference photographs or information identifying you on my website or social media. Agreeing to publicity is optional.

Newsletters

If you subscribe, I may email you about new stained glass pieces, patterns and occasional offers.

You can unsubscribe using the link in any marketing email or by contacting me. Unsubscribing does not stop essential messages about an order you have placed.

Who receives your information

I share relevant information with the services needed to run the shop, including:

  • Squarespace: website hosting, online shop, forms and related services.

  • Royal Mail: delivering physical orders.

  • Professional advisers or public authorities where necessary for accounting, legal obligations or resolving disputes.

  • I use Squarespace Payments to accept payments for orders. This service uses Stripe to process transactions and Sift to help detect fraud. Cookies

Essential cookies help the website and shopping basket work properly. Optional analytics cookies help me understand how visitors use the website.

You can accept or decline optional cookies using the cookie banner and change your choice through the cookie preferences control.

Where information is stored

Information is held through the service providers listed above and any business records I keep.

Squarespace processes information in the United States and other countries. Its arrangements for relevant UK transfers include the UK Extension to the EU–US Data Privacy Framework and, where applicable, contractual safeguards. These are explained in its Data Processing Addendum.

How long I keep information

How long I keep your information depends on what it is needed for.

I retain order and payment records to meet tax and accounting requirements and to deal with any outstanding returns, complaints or legal claims.

Enquiries, commission correspondence and reference photographs are kept while I am responding to you, completing your commission or dealing with agreed changes or outstanding questions. Photographs you have given permission for me to share are covered separately below.

If you subscribe to my newsletter, I keep your details while you remain subscribed and I continue to provide the newsletter. If you unsubscribe, I may keep a minimal record of your preference so that you do not receive further marketing.

I regularly review the information I hold and securely delete information that is no longer needed, unless I am legally required to retain it.

Photographs and social media

I may photograph finished pieces to show examples of my work. I will ask for your permission separately before sharing your reference photographs, name or other identifying details on my website or social media. Saying no will not affect your order.

Photographs shared with your permission may remain in my portfolio or social media posts while they continue to be relevant examples of the work I offer. I review their use from time to time.

You can withdraw your permission at any time by contacting me at glassbeestudio@gmail.com. I will stop using the relevant photographs for publicity and remove them from my website and social media accounts.

Your rights

Depending on the circumstances, you can ask to access, correct or delete your personal information, restrict its use or receive a portable copy.

You can object to processing based on legitimate interests and stop direct marketing at any time.

Where I rely on consent, you can withdraw it at any time. This does not affect processing that was lawful before you withdrew consent.
